So, am I the only one who followed the original DDXP '09 announcement's suggestion to "book your travel and make your plans" and made a reservation at the hotel in Pittsburgh? I should have realized that Chris Tulach was kidding when he told us the dates and location for the convention. Now Hyatt is telling me that there is no way for me to avoid paying a $50 cancellation fee for my reservation. I wonder how many suckers will fall for September's "updated announcement"...

Wow. I hadn't even caught the news yet.

Wonder what's in the works.

contact the hyatt international, and ask them if they can transfer your reservation to a different hyatt in the new city.

wotc does tend to stay with the hyatt chains...

some hotels may be willing to issue you a credit, instead of a refund, as a customer service gesture in the form of a gift card good for a discount on a stay at a hyatt in the future. best western ahs done that for me in the past when i became ill and missed a convention here in ottawa. in fact they called me the first night and asked if i still needed the reservation because it was 11pm and I hadn;t checked in yet, and then immediately offerred me a ...i think it was 110 bucks, hotel credit as they couldn't refund my first night or avoid charging me for it.

Who did you talk to? A clerk or a manager, cause really, they shouldn't be so rude to a customer. You found out that the convention isn't going to be held there and want to cancel your reservation nearly 6 months in advance. There is no reason for them to be such pricks.

Yeah, I tried that, they wouldn't do it. Basically the only thing they'll let me do is reschedule my reservation in the same hotel but at a different date.

I fear I'm in the same boat. I noticed the cancellation policy when I booked the room, but I figured the announcement indicated things had been finalized. I didn't expect to need to cancel because of a venue relocation.

Once a new location is announced, I'll call the Hyatt in Pittsburgh and see what can be done, but I fully expect to get charged $50.

It isn't always WotC fault when something like this get changed. I've booked convention rooms and halls for both corporate and gaming events and know enough to say that you can't put everything into writing that is agreed on a handshake.

Sometimes, the other party doesn't come through on the handshake stuff, so you have to make other plans.

That's business and unfortunately you can't expect that these things will never happen, or that WotC should accept a substandard event in fear of the few people that may or may not receive a refund on the booking fee. I believe military leaders call it 'acceptable losses'.

Just my two cents, and I'm genuinely sorry to hear a few may be out of pocket...

Sure, but it'd be nice if Wizards could put some pressure on Hyatt to waive the cancellation fee. I don't even know if a lot of people have even noticed the announcement of the change. I find it difficult to keep up with all the updates in 10 different places on the site.

If you had asked the hotel about the convention you should have been told they had no knowledge of it (Which is the response I got when I called for a room).

Also, I've never seen a hotel that will charge a cancellation fee if you cancel outside of 48 hours.

Yeah, I decided to use this newfangled thing called the Internet to make my reservation. If the announcement had said "hey, DDXP is going to be in Pittsburgh, and we'll give you more information when everything is confirmed," then this wouldn't have happened. Instead, they announced the specific hotel the con was going to be at. How is it my fault that I believed them?

Try this link. Once you see the picture of the hotel on that page, you will have seen a hotel that will charge a cancellation fee if you cancel outside of 48 hours.

Well anytime a convention is at a Hotel they typically have a convention rate, which requires you to enter a convention code or call and ask. Since we weren't given that, it would have made sense to call and confirm at the hotel, particularly if there was a cancellation fee. Sorry it happened to you but I don't see how it is anyone else's fault.
