| #1festivusMar 20, 2009 12:09:28 | Are we to report this? If so, should I gather up DCI/RPGA numbers somewhere? I haven't looked at the kit to see if there was a roster but I can make one up if we are reporting it. We have 33 players signed up to play, not counting walk ins and extra games that might pop up. I am thinking they should have given us more than 3 kits but we will make do with my copier working overtime to make more character sheets. |

I haven't looked at the kit to see if there was a roster but I can make one up if we are reporting it. I haven't seen any reporting sheet in the kit I've been going through, but I'm not my event's senior DM (if there was any difference in our kits). I did get a stack of DCI membership cards, for what that's worth. |
| #3WolfStar76Mar 20, 2009 12:44:19 | I'm taking some blank RPGA Reporting forms with me - better safe than sorry. ![]() |
| #4festivusMar 20, 2009 14:48:09 | Yeah, I was thinking the same thing Wolf. |
| #5Aaron_HighcolorMar 21, 2009 9:50:08 | I'm taking some blank RPGA Reporting forms with me - better safe than sorry. I was just going to take the "spare" dungeon delve reporting form that came in the kit with me. |
| #6darjrMar 22, 2009 0:13:23 | I didn't gather rpga numbers. We didn't run it asking for any. Many didn't have one. I only have mine and my sons. How do I report it? I don't want to just cancel it. |
| #7_Mithreinmaethor_Mar 22, 2009 1:09:37 | We actually ran 3 full tables. So had 15 players. I could only report 8 players because the rest didnt have or didnt want numbers. So one of our judges wont get credit for running. But I did report it for 2 judges and the 8 players. And the store we held it at sold all but one of their copies of the book as well. I dont expect the same kind of sales with the MM2 but we might have a good 3 tables or more to run again. It was fun. |

I don't want to just cancel it. To report a session you need to have a minimum of 5 RPGA numbers (4 players + the GM). If you don't have that, you'll have to report it as canceled. |
| #9WolfStar76Mar 22, 2009 6:59:37 | We actually ran 3 full tables. So had 15 players. I could only report 8 players because the rest didnt have or didnt want numbers. While it's more of a grey area for events like these (that aren't as clearly spelled out as a typical RPGA event) - one of the requirments for participating in an RPGA event is having an RPGA number. The store or organizer is within their rights to deny play to anyone who doesn't want to fill out a DCI membership card. Or course, there's little harm in *not* doing so - though the biggest disadvantage is the one you mentioned - you now have a DM who didn't earn a Rewards point. If (s)he doesn't care, there's relatively no harm done. I will add it to my notes for this month, however, that the Game Day events need to not just include DCI membership cards, but also need to include RPGA Session Tracking Forms (or at least a description of where to find the file in the RPGA Downloads area) - as well as explain that the games need to be reported. |
| #10pedrMar 22, 2009 7:08:17 | It's worth noting that - at least in the UK - it was possible to be a store running an authorised WWDDGD session and not have the event listed in the RPGA/DCI system. The 'HQ' in the UK was Patriot Games in Sheffield - until he was ill and couldn't travel, Jeremy Crawford was going to be coming to do a Q&A etc, and Charles Ryan (ex-Brand Manager for D&D for WotC, now working for the main European games distributor, Esdveium) organised the kits etc. It wasn't until I realised it'd be useful to have electronic copies in case we had to print extra that I created the event in the system - the store owner had, rather logically, expected that WotC/Esdveium would sort that out. So if I had not done that, it wouldn't have been possible to report the event. As it was, we gave out new numbers to people without DCI memberships and we'll report our three tables and give our GMs the credit (and perhaps increase the store's 'reputation' with WotC!) |
| #11Lord_DarquainMar 22, 2009 17:31:57 | To report a session you need to have a minimum of 5 RPGA numbers (4 players + the GM). I just posted about this elsewhere, but I feel that this should it should be made CLEAR in future event literature exactly what kind of reporting (if any) will be required. |
| #12pedrMar 22, 2009 18:42:50 | Previous Game Days haven't been processed fully through the RPGA/DCI system, if I recall correctly, so I wouldn't worry about it too much. The full integration of the D&D/RPGA activity into the general WotC organised play system is relatively new - I think that until this game day WotC used an entirely separate (probably rather manual!) system for getting stores to register their interest in running the game day, as the DCI system stores are used to wasn't set up for D&D games. The manual system was used in the UK - WotC appear to have put the kits into their normal shipment to the UK distributor, who contacted the stores in the UK and sent kits to those stores which were running the day. Some stores also signed up in the system, others didn't - as signing up wasn't necessary to get the kit. Just because the DCI is set up for D&D now, and being used, doesn't mean that the reports need to be all that accurate, though obviously the more accurate the better! Next time might come with more specific instructions ... who knows! As far as I can tell, there's no issue with cancelling an event ("this event did not take place"), even if it's not 100% accurate. |
| #13Lord_DarquainMar 22, 2009 18:59:26 | Well, it definitely doesn't count towards DM Rewards if canceled. As far as accuracy, I would assume they'd like to have accurate numbers for their decision making process when it comes to future Gamedays and other events. |
| #14festivusMar 22, 2009 23:03:51 | We handed out several RPGA/DCI cards at the event, probably 10 or so, although half didn't stay, they took the number so that they could come to the next meetup we have at the store in two weeks. So it was good for membership as far as I was concerned. I have a total of 28 players and 4 DM's who reported to me. We could have done more but were limited by the number of kits we got. ps: my question about reporting was that I was thinking WoTC might actually have been interested in attendance to the event. |
| #15WolfStar76Mar 23, 2009 8:06:22 | ps: my question about reporting was that I was thinking WoTC might actually have been interested in attendance to the event. Once the day of the event rolled around and I was able to choose the "report event" option I saw it looked like any other RPGA Sanctioned Event (in fact, it even has the now-generic XP/GP boxes for LFR reporting - which of course don't apply here). So it appears that, yes, this event should have been reported - just like any other RPGA event. It's unfortunate that the event instructions did not spell this out clearly, but hopefully future Game Days will explain the process. ![]() |
| #16Lord_DarquainMar 23, 2009 9:37:42 | Yeah, I tried to login and check, but the site was down; I guess a lot of people were checking. =\ |
| #17darjrMar 23, 2009 19:36:51 | Ah drat. That's to bad. I'll cancel it. Though there were three full tables. Next time I'll bring cards. Any advice for getting folks to fill out cards that are not interested in the RPGA? Some there were not. |
| #18pedrMar 24, 2009 3:07:07 | I would say you have a choice. I'm not sure that it is 'required' to report this, the way that other RPGA events must be reported: certainly this would be a significant change (particularly as previous days couldn't be reported. At present, I'd make a decision as a venue/organiser: either decide that you're running it as an organised play event and, like any OP, players will have to comply with organisational requirements and give the RPGA their details; or invite people to join, and then report as many tables as you can, even if you have to combine people into different groupings of 4 players with RPGA numbers in order to get some tables reported: there's no need to be accurate in who played with whom, as the system doesn't care about that for this type of event. The third option is to give RPGA numbers to everyone, even those who don't want one, but not require them to give their details - in fact, since the systme does not seem to store the names of new players added by Senior GMs any more, you could just enter the numbers and guess what surnames to put in. I wouldn't entirely recommend that: apart from anything else it's rather a waste of RPGA numbers! Of course it's worth noting that RPGA membership means people don't have to join the DCI to take part in other Wizards OP, such as M:tG tournaments, though that doesn't help with those who wouldn't be at all interested in that either. |
| #19kinevonMar 24, 2009 4:10:12 | Ah drat. That's to bad. From what I saw yesterday ( I think it was) cancelling is not an option. Unfortunately, since the event I DMed was reported under a different session, so I have nothing to report on mine... |
| #20pedrMar 24, 2009 5:45:24 | What do you mean 'cancelling is not an option'? If you go into 'My Events' you should have a tick-box underneath the listing for the Game Day marked "The event did not take place" or something similar. Using that box works, even if 'Cancel the event' in the reporting screen doesn't. |
| #21JijiMar 24, 2009 14:23:27 | What do you mean 'cancelling is not an option'? that tick box wasn't there either. I guess this time they weren't that concerned about this running or not. Oh for the record since I teamed up with the DCI coordinator, our store ran 6 tables for the WWGD. So in the future I will be asking some of my Senior judges to order the WWGD packages cause we had to turn peeps away since we only had enough swag for those tables. That was such a horrible thing to happen. And our store sold 18 copies of PHBII in 5 days. Maybe now WOTC may list our store in their premier listing. |
| #22Lord_DarquainMar 24, 2009 14:28:37 | I think the Wizards Premiere Stores are based around calling them up and chatting about getting yourself added and then possibly ordering stock directly form them rather than through a supplier. I think. |
| #23harmesisMar 25, 2009 19:31:01 | It wont let me cancel and I only had 1 other RPGA member there so it wont let me report it. The other players were not members, and most were minors. What do I do now? |
| #24pedrMar 26, 2009 4:36:51 | Well, I'd imagine the people reading the dci@wizards.com (or alternative emails outside the Americas) would get quite tired of hearing about this problem, but it's probably the address to write to. Since they've put the event into the system, if the system isn't responding to the realities of the event, they need to sort it out. From my reading of things, though, only people whose status as a M:tG organiser is reliant on their WPN level currently needs to worry about late/unreported events. |

| #26Lord_DarquainMar 26, 2009 10:07:38 | Well, I'd imagine the people reading the dci@wizards.com (or alternative emails outside the Americas) would get quite tired of hearing about this problem, but it's probably the address to write to. Well, as someone who's done this kind of stuff for a living before, hearing from as many people as possible on the same subject is a good thing. And hearing about new issues as soon as possible is also a good thing. Hearing about things ASAP gets them on the list of Things To Look At⁚ ASAP, and hearing about things repeatedly is a good way to get them bumped up said list. Unless they tell you to shut up. Then, shut up. :D |
